Ask the managing agent for the scheme's conduct rules and approval procedure before you get a quotation. Then submit a product proposal the trustees can approve on paper: product line, dimensions, colour, fixing method and a drawing. Robo Door prepares that pack from the site visit. Keep the written approval with the quotation and invoice.
1. Get the scheme's actual rules
Every scheme has its own registered conduct and management rules and, often, an architectural standard for visible alterations. Do not rely on what another complex allows. Ask the managing agent or trustees in writing what is required and whether approval must come before installation.
2. Establish what is common property
Window frames, exterior walls and patio openings are often common property even when they serve your section. That matters because alterations to common property usually need trustee consent and sometimes a special resolution. If it is unclear, ask the managing agent before ordering.
3. Submit a proposal the trustees can approve
A good submission removes the reasons to say no. Robo Door's site visit gives you the material for it:
- Product line, for example Econo Fixture Burglar Bars or a Deluxe Trellis Door
- Measured dimensions per opening
- Colour and finish, matched to the scheme's standard where one exists
- Fixing method, so the trustees can see it does not damage common property
- Photographs of the openings and a simple drawing
4. Keep insurance separate
Trustee approval does not settle your insurance. If your policy requires specific security, confirm that with your broker in writing and put it in the quotation brief. Our insurance guide covers what to ask.
5. Plan the escape route
Fixed burglar bars do not open. In a flat with one door, the bedroom window may be the second exit. Robo Door's site visit covers which openings should get a retractable trellis door or a louvre shutter instead of fixed bars.
6. File everything
Keep the written approval, the quotation, the invoice, the installation record and photographs together. Trustees change and units get sold. The file answers questions years later.
If there is a dispute
Use the scheme's own dispute process and, where rights or common property are contested, get advice from a sectional title attorney or the Community Schemes Ombud Service. A product supplier cannot resolve a rules dispute for you.
Next step
Send us the scheme's rules on colour and design and we will quote to them, so the trustees see exactly what goes on the building. Request a free quote, WhatsApp +27 82 888 1919 or call 082 888 1919.
