Access to Information (PAIA)
This page explains how to request access to records held by Robo Door CC (registration number 2005/167957/23) in terms of the Promotion of Access to Information Act 2 of 2000 (“PAIA”), read with the Protection of Personal Information Act 4 of 2013 (“POPIA”).
The full PAIA Manual is available on request and will be downloadable from this page.
1. Your Right of Access
PAIA gives effect to the constitutional right of access to information. Any person may request access to a record held by Robo Door CC if the record is required for the exercise or protection of any right. Access may be refused only on the grounds permitted by PAIA, such as the protection of the privacy of third parties, commercial confidentiality, or legal privilege. Where a ground for refusal applies to part of a record, the remainder must still be disclosed where it can reasonably be severed.
2. How to Request Records
- Complete the prescribed request form (Form 02, as published by the Information Regulator) and submit it to our Information Officer at the contact details below.
- Identify the record(s) requested clearly, state the right you seek to exercise or protect (where you are not the person the record is about), and indicate the form of access required (inspection or copy).
- Pay the prescribed request fee and, where applicable, the prescribed access and reproduction fees set out in the PAIA fee regulations. Personal requesters (people requesting records about themselves) are not required to pay the request fee.
- Robo Door CC must respond to a request within 30 days of receipt, either granting access, refusing access with reasons, or extending the period once by up to a further 30 days where permitted by PAIA.
- Proof of identity is required before access is granted.

4. Categories of Records Held
Robo Door CC typically holds records in the following categories. Listing a category does not mean that records in that category are automatically available; each request is assessed under PAIA.
- Company records — founding documents, statutory registers, minutes, licences and permits.
- Financial records — annual financial statements, accounting records, tax and VAT records, banking records, asset registers.
- Human resources records — employment contracts, payroll, leave and attendance records, disciplinary records, statutory employment returns.
- Customer records — quotations, orders, invoices, installation and warranty records, correspondence and complaints.
- Supplier records — supplier contracts, purchase orders, invoices and statements, vendor records.
- Marketing records — marketing and communication materials, website records, mailing lists.
5. The Information Regulator
If a request for access is refused, or if you are dissatisfied with how a request was handled, you may lodge a complaint with the Information Regulator (South Africa), or apply to a court with jurisdiction. The Information Regulator can be reached via its website at www.inforegulator.org.za, which also publishes the prescribed forms (including Form 02 for access requests and the complaint forms) and the current fee schedule.
6. PAIA and POPIA
POPIA governs how Robo Door CC processes personal information. Where a PAIA request involves the personal information of a third party, access is assessed against the privacy protections in PAIA and POPIA, and third parties may be consulted before access is granted. Data subjects may also exercise their POPIA rights — including requesting access to, correction of, or deletion of their own personal information — by contacting the Information Officer.
